Project Manager

Location: Chicago, IL or Grand Rapids, MI

The Project Manager is an eternal advocate for Blue Flame Thinking. The main goal of the Project Manager (PM) is to improve overall process efficiency by successfully managing projects through their life cycle; including initiating and mapping project plans, creating tasks, managing budgets, timelines and resources, as well as effectively communicating between internal resources.

The successful PM works to ensure the flawless execution of projects from the account team and interdepartmentally. We’re looking for an uber-effective, solutions-oriented taskmaster and team player. Our ideal candidate must be adept at anticipating problems while solving them and recognizing opportunities. Their focus should be on the best possible use of agency resources from prioritizing projects to setting realistic timing expectations. The Project Manager reports to the VP, Client Services.

Project Manager Responsibilities

  • Owns the successful day-to-day execution of multiple projects by delivering them on-time and on-budget
  • Works collaboratively with the Digital Project Manager to determine how best to manage agency resources (content, design, dev) across large-scale digital projects
  • In tandem with account manager, works to successfully onboard new agency clients and/or projects
  • Works to align digital, creative and account teams consistently throughout the project cycle
  • Proactively keeps project work flowing through each phase, and provides solutions to removing potential roadblocks
  • Communicates with client to ensure projects are moving forward
  • Closely monitors and manages project budgets
  • Works with account team to manage project change orders
  • Creates estimate schedules and timelines
  • Participates in any weekly status meetings
  • Communicates regularly with account team on the status of jobs in progress
  • Collaborates with team leads to identify and suggest solutions on how to improve workflow processes and agency efficiencies
  • Captures and distributes meeting recaps and assigns next steps / to-dos in PMS
  • Maintains professional internal and external relationships that meet the company’s core values


  • Degree from an accredited college or university
  • Must have experience working in an advertising or marketing agency
  • Technical proficiency with project management software like Workamajig and Basecamp
  • Understanding of agency culture, process and team structure
  • Must be a firm believer in the importance of strong communication and collaboration
  • Fanatical about process improvement and efficiency – some may say you’re obsessed
  • Highly organized and detail-oriented
  • Strong interpersonal and relationship building skills
  • Must be able to multitask by managing and prioritizing multiple projects
  • Decisive and persistent – able to see a project through to completion
  • Superior time management skills
  • Self-motivated, resourceful and proactive
